Our portfolio of locations ranges from a minimum of £2,000 per day. We love a challenge, but our locations are used to getting paid. All prices quoted are plus VAT.
Locations have a minimum 6-hour hire restriction, whether you spend 1 hour or 6 hours there.
Some locations charge utilities (electric/gas/water/council tax) on top of the location rate.
A date-holding deposit may also be requested.
Public liability insurance of at least £5 million is required at all our locations before the shoot – Safety first!
At some properties, you may require risk assessments, method statements if you do go ahead. A damage deposit will be required.
Library fee
Our library fee is £405.00 on top of the fee to the location.
Recces
We charge a recce fee (fee varies, subject to location) for each recce after 5 recces. We charge a cancellation fee of £95.00 for any confirmed recce cancelled less than 6 hours before the scheduled arrival time or if you do not show up at the agreed date and time.
Late Fees & Cancellations
Payment Terms
All payments are due at least 48 hours (2 working days) before the agreed start date and time, unless otherwise agreed in writing. Any invoice not settled by the due date may attract interest and compensation charges in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.
Pre-Contract Work & Cancellation Before Signature
Location HQ invests significant time, expertise, and resources in identifying locations, arranging recces, and preparing proposals before any agreement is formally signed. Where a project does not proceed — whether due to cancellation, change of scope, or any other reason — all costs incurred by Location HQ up to that point remain recoverable. These include, but are not limited to: recce fees, administration charges, and any third-party costs committed on your behalf. Such amounts are immediately due and payable upon written demand.
Cancellation After Signature
Once a Licence Agreement has been executed, the following cancellation fees apply:
- Cancellation less than 7 days before the first scheduled date: 100% of the total location fee payable plus recce fees.
- All recce fees are chargeable in full regardless of when cancellation occurs.
Direct Dealings with the Location Owner(s) or its Representative(s)
Where Location HQ has introduced a client to a location owner or property, any direct approach to that owner — whether to arrange access, negotiate terms, or conduct a shoot — without Location HQ’s involvement will be treated as a circumvention of Location HQ’s services. In such circumstances, Location HQ reserves the right to invoice for its full agency fee as if the booking had proceeded through Location HQ in the normal way, together with any additional losses sustained.
Working Days
All timeframes are calculated on the basis of a standard 5-day working week (Monday to Friday, excluding UK public holidays).
Legal fees
A copy of our standard terms and conditions is provided in advance. Should you wish to make any alterations to these terms and conditions less than 7 days before the intended day of first use, then legal charges will be incurred by you for these changes.
